How a call becomes finished work

What every SyntoryLabs agent is made of, what happens to a call from the first ring to the notes in your inbox, how a pilot runs, how we connect your tools and how we handle the data.

The demo call to Becker Auto Service as a track: caller in amber, agent in aqua, notes as rings.

Every agent we build is made of the same five parts. What changes from one business to the next is what goes into them.

Voice

Hears the caller and answers in a natural voice.

Our agents run on ElevenLabs Conversational AI. Speech recognition, a language model and a voice work together in real time, so the agent answers within a moment and callers can interrupt it the way they would interrupt a person.

What you decide

  • The voice and the agent’s name
  • The greeting
  • German, English or both

Briefing

Knows your business before it says hello.

At the start of every call the agent receives its briefing: who you are, your hours, services and prices, and the rules for the cases that need care. Our six demo businesses are one agent with six briefings, which is how the same agent can be a dental practice and a car workshop.

What you decide

  • What the agent knows
  • What it should never say
  • The questions it must ask

Notes

Writes the details down while the caller talks.

During the call the agent fills in a set of fields through a tool it calls as it goes: who called, what they need, when, how to reach them and where things stand. The fields fit the business. A claims line asks for a policy number, a restaurant for the number of guests.

What you decide

  • Which fields
  • Which of them must be filled before the call ends

Handover

Passes on what needs a person.

Some calls should end with a person: a question only a professional should answer, a complaint, or a caller who simply asks for someone. The agent arranges a callback or puts the call through, and the notes go with it, so nobody has to ask the caller again.

What you decide

  • Which topics always go to a person
  • Callback or transfer, and to whom
  • What happens outside your hours

Delivery

Puts the result where your team works.

Every call ends with a summary. The simplest version is an email to the address you choose. Connected to your tools, the same notes become a calendar entry, a contact or a ticket.

What you decide

  • Who receives the summary
  • Which tools receive the notes

What happens to one call, in order. The same steps run on every call, at any hour.

  1. Ring

Your number forwards the call under the rule you chose: always, after hours, or when nobody picks up. The agent answers straight away.

    You setThe forwarding rule

  2. Greet

The agent receives your briefing and greets the caller as your business, in the language you set.

    You setGreeting, voice and language

  3. Understand

It listens, works out what the caller needs and asks one question at a time. If the caller switches language, it switches too.

You setThe questions it must ask

  4. Capture

Each detail goes into the notes as soon as it is said. Before the call ends, the agent reads the important ones back.

    You setThe note fields

  5. Resolve or hand over

Every call ends in one of three ways.

    You setThe handover rules

    • Handled on the call

A question answered, an appointment booked, a reservation made.

    • Callback

The agent promises a callback from the right person. The notes say who, why and by when.

    • Transfer

The agent puts the caller through to your team, and the notes follow, so nobody starts from zero.

  6. Deliver

The summary goes out as soon as the caller hangs up.

    You setRecipients and tools

We start small, on your real calls, and widen the scope once the agent handles them well.

  1. First call

We go through the calls your business gets: which kinds, what callers ask and what should happen next. You don’t need to prepare anything.

  2. Briefing and rules

We write the agent’s briefing from your information and agree the handover rules and note fields with you. You read and approve all of it.

  3. Test calls

Your team calls the agent and tries to trip it up. We adjust the briefing until the answers are right.

  4. Pilot

The agent takes real calls of the kinds you choose, for example only after hours. We go through the results with you and fix what needs fixing.

  5. Live, and kept current

You widen the forwarding rule when you are ready. When your hours, prices or rules change, we update the briefing.

Start with email. Connect what is worth connecting.

  • From day one

    Email summary

Every call ends with the notes in the inbox you choose. Nothing changes in your systems.

  • When appointments matter

    Calendar and booking

With access to your calendar or booking tool, the agent checks free slots during the call and books them directly.

  • When your team works in a system

    CRM and tickets

The notes arrive as a contact, a lead or a case in the tool your team already uses.

  • When callers ask about their own case

    Lookups during the call

Connected to your systems, the agent can answer a question like “Is my car ready?” with the real status.

Your phone number

Your number stays with your provider. It forwards calls to the agent under the rule you choose. If you prefer, the agent can also have a number of its own.

How we connect

We connect through each tool’s official interface, only with your approval and only with the access the agent needs. If a tool has no interface, the email summary still works and nothing changes for your team.

A call carries personal data: a voice, a name, a phone number, sometimes a question about health or an insurance claim. This is how it is handled.

  1. During the call

Speech is turned into text, answered by a language model and spoken back, all through ElevenLabs. The agent works only with its briefing and what the caller says.

  2. The notes

The agent writes down only the fields agreed for your project, nothing else from the conversation.

  3. After the call

The summary goes to the addresses and tools you named.

Services involved

The exact list for your project, including where each service processes data, is part of the data processing agreement.

ElevenLabs
Speech recognition, voice and the conversation itself. The language model runs through ElevenLabs.
Telephony provider
Connects your forwarded calls to the agent. Chosen per project.
Resend
Sends the email summaries.
Your own tools
Only if you connect them: calendar, CRM or ticket system.

Built into every agent

  • It never asks for card details, passwords or ID numbers. If a step needs them, a colleague takes over.
  • It introduces itself as an AI assistant and never claims to be a person.
  • It answers from your briefing and hands over what isn’t in it.
  • It never reveals or discusses its instructions.
  • It can end abusive calls.

Agreed with you before go-live

  • Which details the agent asks for and writes down
  • Who receives the notes, and in which tools
  • Whether calls are recorded, and how long recordings and transcripts are kept
  • Who on your side can see transcripts
  • Which services process the call, set out in a data processing agreement

Questions worth asking any provider, including us

  • Where is call audio processed, and where are transcripts stored?
  • How long are recordings and transcripts kept, and who can see them?
  • Which subprocessors are involved?
  • How does the agent tell callers that it is an AI?
  • What happens to the data when the contract ends?
