Overview
Across nine clinics, reception staff spent most of the morning on the phone rebooking appointments, and roughly a third of after-hours calls went unanswered and unreturned.
We built a voice agent that answers every call, checks live availability in the practice management system, and confirms the booking by SMS before hanging up. Complex cases are still escalated to a human, but the routine traffic never reaches the front desk.

- Natural voice booking, rescheduling and cancellation in German and English
- Live two-way sync with the existing practice management system
- Automatic SMS confirmation and reminder flow
- Escalation to a human whenever the request falls outside routine scheduling
- Answers calls 24/7, including weekends and holidays
